Emma uses AI to automatically categorize every document in your data room into exactly one document type from your Information Request List (IRL). This single-type assignment ensures documents are classified consistently and without overlap, which is critical for accurate mapping to IRL requirements and effective due diligence reviews. Maintaining a single, clear document type per file eliminates ambiguity and supports thorough, reliable disclosure.
Only one document type per document
Each document in Emma must have exactly one document type assigned. You can change the assigned type, but cannot assign more than one type to a document. This applies to both AI-suggested categorizations and manual selections by users.
When categorizing a document, the interface displays a single assigned document type (if present). You can remove or replace this type, but you cannot add additional document types.
If a document was previously assigned multiple types under an older workflow, only the most relevant (often the most recent human-assigned) type is shown and retained. Any classification of a document, either via AI or user assignment, will always replace the prior type with the new selection, ensuring just one active type per file at any time.
Changing the categorization from the document viewer
Open the document you want to re-categorize. In the Info tab of the Document viewer, use the Document types field to search for and select the correct document type — or click the pencil icon next to it to open the categorization wizard. See the Info tab article in the Document viewer collection for full details.
This opens the categorization wizard, where you can search for and select the single correct document type. Only one selection is permitted at a time. Removing the assigned type will clear the document's classification until a new one is added.
Changing the categorization from the IRL view
You can also re-categorize a document directly from the Documents page without opening the viewer:
Go to Documents and make sure you are in the IRL view.
Select the document type the file is currently assigned to.
In the Documents tab, find the file and click the menu icon on its row.
Choose Categorize to open the categorization wizard.
Changing the categorization from the Folder view
In the Folder view, click the menu icon on any file row and choose Categorize.
Impact of IRL changes: categorization re-run required
When new document types are added to or edited in your IRL, Emma no longer immediately reclassifies the data room documents. Instead, the data room is flagged as needing reclassification, and you are prompted to explicitly rerun categorization. This gives you control over when documents are reassessed, helping avoid unintended changes and review confusion.
Why this matters in M&A diligence
Enforcing a single document type per document provides clarity when mapping files to IRL requests, flagged schedule items, or disclosure requirements. This reduces the risk of missed commitments or gaps in your diligence checklist. It also ensures that law firms, deal teams, and counterparties can operate from a common, reliable set of document categorizations.
