The Access management page lets you control who can access a specific data room and what they can do inside it. To open this page, go to Settings > M&A data rooms, select your data room, and choose the Access management tab.
Data room roles and permissions
Every member in a data room has one of these roles:
Deal Responsible — Full access to all data room features, including granular settings. Can invite new members, change any member's role, and remove people from the data room. Only Deal Responsibles and organization admins can delete a data room.
Contributor — Full access to the data room, except managing access (inviting, removing, or updating other members).
Domain Contributor — Limited access only to the Overview and Documents pages, and only to the specific areas assigned to their role. Intended for subject-matter experts or reviewers with a defined scope. During invite, you must select which areas this person can access.
Report Viewer — Can view the final report only. No access to underlying documents, discussion, or workspace activities.
You will notice more refined permission handling for certain settings and data room management features. For example, the Deal Responsible role now enables granular settings permission in the data room. Sections, such as integrations and files, are individually controlled by your access level; viewing or managing these depends on your assigned role, rather than relying on a single catch-all permission.
Inviting members
To add someone to the data room:
Click Invite member.
Enter their email address.
Select the appropriate data room role.
If you select Domain Contributor, you must also pick the area(s) they are permitted to review.
If inviting a colleague who is not yet part of your organization, you can now specify their organization-level access:
External (only access to this data room)
User (organization user)
Admin (organization admin) The invitation will match their organization role, or create a pending organization invite with the selected role if they are not yet a member. When the invite is accepted, their access is set accordingly.
If a colleague from your organization is not in this data room yet, they appear in the Suggested section for quick inviting.
When you invite someone, they receive both an email and a notification within Emma if they already have an account. Accepting the invitation adds the data room directly to their workspace.
Importing members from another data room
Use Import from data room to copy members from any other data room you have access to:
Click Import from data room.
Select the source data room.
Choose which people to import.
Confirm your selection.
Imported members will receive invitations and hold the same roles as in the source data room (including area assignments if importing Domain Contributors).
Managing existing members
Each entry under members displays the person's name (or email, if name is not available), role, and a badge tied to their role.
Edit — Change the member's role, or adjust the area assignments required for Domain Contributors.
Remove — Immediately revoke access for this member. (Organization admins or Deal Responsibles can remove data room members, but only admins or Deal Responsibles may delete data rooms themselves.)
Changes are applied as soon as you save them. If you downgrade a member's role or restrict their area access, their data room access updates right away.
Removing someone from your organization (in the organization settings) will also remove all of their data room memberships and pending invitations within that organization.
Pending invitations and notifications
People who have been invited to the data room but have not yet joined are shown in the Invitations section, separated from active members.
Resend — Re-send the invitation email (you can do this once every 60 seconds per invite).
Cancel — Revoke the invitation; access will not be granted if they try to join later.
Pending invitations now automatically reflect both data room and (if relevant) organization-level access. When an invited user with a pending organization invite accepts, their invite will activate their organization membership at the selected level.
Additionally, invitees who already have an Emma account and matching organizational access receive an in-product notification to instantly accept and access the data room from their dashboard.
Access Denied and Forbidden Error Pages
When someone tries to access a data room they do not have permission for, Emma now displays a clear error page explaining the situation. Instead of generic or technical error messages, you will now see a page stating that you do not have access to the requested resource.
The message explains that either the page does not exist or your account does not have permission to view it. You can return to your organizations or contact your administrator if you believe this is a mistake. The error page also includes an option to contact Emma support directly if you need further assistance.
This change means access-denied situations—including attempts to open a data room without the required permissions—are now handled consistently, with improved guidance on what to do next.
