The Organization members page lets you manage who has access to your Emma organization, assign their roles, view and manage outstanding invitations, and oversee membership changes. To access it, go to Settings > Organization settings > Organization members.
Organization roles
Every member of your organization has one of three roles:
Admin: Full access to the organization and all data rooms. Admins can invite new members, change roles, and remove people from the organization.
User: Access only to data rooms they have been individually invited to. Users cannot manage organization membership.
Billing: Access to the Subscription page only. Designed for finance contacts who need billing and payment access but should not see deal content.
The member list shows each member's name, email address, role, and the number of documents and data rooms they have access to.
Inviting members
Click Invite members in the top-right corner. Enter the person's email address, select their role, and send the invitation. They will receive an email with a link to join Emma.
If your organization uses an authorized domain, anyone with a matching email address can join without a direct invite. For more details, see Authorized domain.
Assigning organization roles with invitations
When you invite someone:
If the invite is sent via the Organization members page, you choose their organization role (Admin, User, or Billing) directly.
If you invite someone to a data room who is not yet an organization member, you can also assign their organization role as part of the invitation process. For example, you can assign them as an Admin or User of the organization directly from the data room invite form.
If the person already has a pending invitation to the organization, inviting them again (either from data rooms or from the organization settings) will update the organization role on their existing pending invitation.
How invites to organization and data rooms are connected
If you invite an external user to a data room and also assign them an organization role, Emma keeps these invitations in sync. Their organization invite will reflect the latest assigned role.
Accepting the invite to the organization (or to a data room) completes both steps: the individual becomes an organization member and receives access to the data rooms they were invited to.
If you cancel a pending organization invitation, any matching pending data room invitations (for the same email address) will also be canceled.
Notifications for pending invitations
Users who are invited to a data room or to the organization will be notified by email.
Platform notifications will also appear for the invitee in Emma if they have an account.
Managing existing members
Each listed member shows their name, email address, role, the number of documents they have uploaded or imported through integrations, and the number of data rooms they can access.
To manage a member, click the menu icon on their row:
Edit — change a member's role (only available to Admins).
Remove — remove the member from the organization (they lose access to all organization data rooms and any data room invitations are withdrawn).
Note: You cannot remove yourself from the organization.
Pending invitations
Unaccepted invitations appear in the Invitations section below the member list:
Resend — send the invitation email again (can be resent once per 60 seconds).
Cancel — revoke the invitation so the link no longer works. This will also cancel any related data room invitations.
If you invited someone from a data room and set their organization access, their pending status will appear here. Accepting either invitation will approve both their organization and data room membership.
