Project access management

Manage who has access to a project and what role they hold

The Project access management page lets you control who can access a specific project and what each member can do within it. To get there, go to Settings > Projects, select a project, and open the Access management tab.

Access denied and forbidden screens

When you try to access a project or its resources that you do not have permission for, Emma will now show a dedicated error screen. This may happen if you:

  • Try to open a project or data room that you are not a member of, or

  • Attempt to view a resource after your role or membership has been changed

There are two types of access error pages:

  • Forbidden: Shows a clear message that you do not have access to the project or content. It includes options to return to your organizations or contact support. If you see this screen, you likely need to be added to the project, or ask your administrator for access. (Learn more about project roles and inviting members below.)

  • Unauthorized: If you are not signed in or your session expired, you will be prompted to log in. This screen makes it clear you must sign in before accessing Emma.

For more about which project roles allow access, and how to adjust them, see the rest of this article. If you need changes, contact your Project Responsible or organization admin.

Project roles

Each person added to a project is assigned one of the following roles:

  • Project Responsible — full control over the project. Can invite members, change roles of any member (including making someone else Project Responsible), and remove any member from the project.

  • Contributor — can access all project content and collaborate fully. Cannot invite new members, change roles, or remove others from the project.

Project settings access

Project settings are always visible to all project members. However, specific actions within project settings—such as editing configurations or managing roles—depend on the level of permission assigned to your role. Permissions are now more granular, enabling precise control over what each role can change or manage within project settings.

If you do not have permission to make certain changes in settings, you will see the settings section but editing options will be disabled or hidden. Only those with the appropriate permissions (for example, Project Responsible) can manage roles and access advanced settings features.

Inviting members

Click Invite member to add someone to the project. Enter their email address, select a role (Project Responsible or Contributor), and send the invitation.

Members of your organization who are not yet in this project are listed in the Suggested section, making it easier to quickly invite known colleagues.

Managing existing members

All current members appear with their name/email and their role badge.

  • Edit — change a member's role between Project Responsible and Contributor as needed.

  • Remove — remove a member from the project. They lose access immediately upon removal.

Only members with permission to manage project access (for example, Project Responsible) can manage other members or change roles. If you cannot edit or remove someone, you may need to ask a colleague with higher project permissions.

Pending invitations

Invitations that have not yet been accepted are listed in the Invitations section.

  • Resend — send the invitation email again (once every 60 seconds).

  • Cancel — revoke the invitation before it is accepted.
